1 Name

The Club will be called Hull Archery Club.

 

2 Aims and objectives

The aims and objectives of the Club will be:

  • To provide recreational archery facilities for the community and residents of Hull and its surrounding areas, using the sport of archery in the interest of social welfare, to improve the quality of life for all participants, without discrimination against any individual or group.
  • To offer coaching and participation opportunities in archery, ensuring that the sport is accessible to everyone, regardless of sex, age, colour, ethnic origin, disability or ability, political, religious, or other opinions, and to promote inclusivity in all activities.
  • To promote Hull Archery Club as a valuable community asset, fostering a sense of inclusion and engagement through the sport of archery.
  • To manage the Club responsibly, ensuring a safe and supportive environment for all members.
  • To uphold a duty of care to all members, offering services and opportunities in a fair and non-discriminatory way.
  • To ensure that all current and future members are treated equally and fairly while properly using the Club’s facilities to benefit its members and the community.

 

Community Engagement Clause:

  • To foster community engagement by collaborating with local organizations, charities, and initiatives that support similar recreational and social welfare goals.

 

3 Membership

Membership should consist of officers and members of the Club.

All members will be subject to the regulations of the constitution and by joining the

club will be deemed to accept these regulations and codes of conduct that the Club adopted.

Members will be enrolled as full members

 

4 Membership fees

Membership fees will be reviewed and set annually by the Executive Committee or decided at the Annual General Meeting.

Members are to pay their fees monthly by standing order on the 1st day of each month. New members can pay pro rata upon joining, or in the first week of the new year, based on a rate of £16 per month.

If training is required, a 4-5 session course will be available for £30. Bow and arrow hire, if needed, will be charged at £2 per week.

 

5 Officers of the Club

The officers will be:

  • Additional Coach – John Parker
  • Equipment Officer – John Parker

  • Legal Auditor and Accountant – Mr GF Curtis.
  • Safeguarding Children and Vulnerable Adults Officer – Tracy Cooper, Carl Cooper, John Parker

 

Officers will be automatically re-appointed unless they retire or are asked to retire by a majority ruling of the other officers and/or members.

  1. Committee

The Club will be managed by the Club Executive Committee, which includes the Chair, Vice Chair, Honorary Secretary, and Treasurer. Only these positions will have the right to vote at meetings of the Club Executive Committee, but the opinions and feedback of all club members will be considered.

The Club Executive Committee will be convened by the Secretary and will meet at least once a year.

The Club Executive Committee will be responsible for adopting new policies, codes of conduct, and rules that affect the organization of the club.

The Club Executive Committee will have the authority to appoint sub-committees and advisers as necessary to fulfil its responsibilities.

The Club Executive Committee will handle disciplinary hearings for members who violate the club’s rules, regulations, or constitution. The Committee will also be responsible for taking any necessary actions, such as suspension or discipline, following these hearings.

  1. Finance

All club funds will be deposited in an account held in the name of the Club. The Club Treasurer and Chair will oversee the club’s finances.

The financial year of the Club will end on December 31st.

An audited statement of annual accounts will be presented by the Treasurer at the Annual General Meeting.

Any cheques drawn against club funds must be signed by both the Chair and the Treasurer.

 

  1. Annual General Meetings

Notice of the Annual General Meeting (AGM) will be given by the Club Secretary, with at least 21 clear days’ notice provided to all members.

The AGM will include reports from officers of the Club Executive Committee and a statement of the audited accounts.

Nominations for officers of the Club Executive Committee should be submitted to the Secretary prior to the AGM.

Elections for officers will take place at the AGM.

All members have the right to vote at the AGM.

The Club Executive Committee can call Extraordinary General Meetings (EGMs) outside of the AGM. Procedures for EGMs will be the same as for the AGM.

  1. Discipline and Appeals

All disciplinary, child protection, and poor practice concerns should follow the Archery GB Case Club Executive Referral Panel guidelines, available under Governance on the Archery GB website.

All concerns, allegations, or reports of poor practice or abuse relating to the welfare of children and young people will be recorded and responded to swiftly and appropriately, in accordance with the Archery GB Policy for Safeguarding Children, Young People, and Vulnerable Adults. The Club Child Protection Officer is the lead contact for all club members in the event of any child protection concerns.

All complaints regarding the behaviour of members should be submitted in writing to the Club Secretary.

The Club Executive Committee will meet to hear complaints within 21 days of a complaint being lodged. The committee has the authority to take appropriate disciplinary action, including the termination of membership from the club.

The outcome of a disciplinary hearing will be communicated in writing to the person who lodged the complaint and the member against whom the complaint was made within 7 days of the hearing.

Members have the right to appeal to the Club Secretary following disciplinary action. In the event of an appeal, the Chairman of the County Committee will appoint an Appeal Panel of three independent individuals. No member of the Club Committee may sit on this panel.

  1. Dissolution

A resolution to dissolve the club can only be passed at an AGM or EGM through a majority vote of the membership. After satisfying all debts and liabilities, the remaining assets will be distributed to one or more charitable organizations with objectives aligned with those of the Association, as determined by the members.

  1. Amendments to the Constitution

The constitution can only be changed through agreement by a majority vote at an AGM or EGM.

  1. Declaration

Hull Archery Club hereby adopts and accepts this constitution as the current operating guide regulating the actions of its members.
